Environmental Health (Protection) - Privacy Notice

This privacy notice is provided for clarification on what information the council needs in order to investigate your complaint and/or resolve your service request.

It is necessary for the council to gather, collect, store and process personal information relating to your complaint/service request. The council puts measures in place to protect the privacy of individuals throughout this process.

As a public authority, council takes your rights and freedoms seriously and will only release information when required under law or with your consent. In certain circumstances, when it is essential that the council is able to contact you and your whereabouts are either unknown or cannot be ascertained from the existing data held by the council, we may seek to enlist the services of a tracing agent to establish this contact with you. This may involve sharing your personal data without your consent with an approved tracing agent employed by the council for this purpose, however this practice will only ever occur on the rarest of occasions and only where it is absolutely necessary that the council can maintain contact with you.

  • Government departments such as HMRC and the Cabinet Office
  • Police
  • Environment Agency
  • Health & Safety Executive
  • Essex County Council
  • Trading Standards
  • Grafton UK Ltd (or other reputable tracing agent).

The council will only keep your information for as long as necessary. Full details of how long the council retains your information can be found in the council's Document Retention Policy (PDF) [705KB] . After this time your information will be securely destroyed.
