Democratic Services Privacy Notice
This privacy notice is provided for clarification on what information Uttlesford District Council needs in order to support members of the public who wish to register to speak at council meetings.
It is necessary for the council to gather, collect, store and process personal information relating to public speaking at meetings of the Cabinet, the Council or Committees. The council puts measures in place to protect the privacy of individuals throughout this process. If you speak at a public meeting, your consent to the recording of your name and your statement in the public records of that meeting is assumed. No additional personal details will be made public.
The majority of public meetings are broadcast onto the council's website via Civico. The video recordings of such meetings will be kept on the website as a matter of public record. Please note that by registering to speak at a public meeting your consent to the video recording of your statement in the public records is assumed.
Civico have their own privacy and data security policies, which can be seen in Civico Privacy Policy on the Civico website.
Previously, public meetings were broadcast via Zoom and YouTube, and these video recordings will be kept on the website as a matter of public record. Zoom and YouTube have their own privacy and data security policies, which can be accessed at Zoom US website and YouTube website.
As a public authority, the council takes your rights and freedoms seriously and will only release information when required under law or with your consent. Data retention
The council will only keep your information for as long as necessary. Full details of how long the council retains your information can be found in the in the council's Document retention schedules for all services (PDF, 1 MB). After this time your information will be securely destroyed.
